Pulse permissions
What this page is — every permission Orbit Pulse offers, listed by the name you see in the role editor, and what each one lets someone do.
What it is for — building a role that grants exactly what you intend. It is the page to keep open in the other window while you tick boxes.
The problem it solves — permission names are short and several of them sound alike. Manage Lead Pipelines also covers statuses; Edit Existing Leads reaches further than it sounds. This page says what each one actually grants.
Scope: 7 modules · 87 permissions · 3 role-editor categories
1. Where the permissions live
There is no category called Pulse or CRM. Pulse's permissions are spread across three:
| Category | Modules | Permissions |
|---|---|---|
| Marketing Suite | Manage Leads (50), Contacts (12), Deals (8), Lead Settings (1) | 71 |
| Customer Relationship | Orbit Customers (5), Orbit Vendors (5) | 10 |
| Analytics | Lead Analytics and Reports (6) | 6 |
Marketing Suite also contains Manage Forms, Manage Marketing Pages and Manage Blogs, which are not
part of Pulse. If you are building a CRM role, ignore those three.
Open the Campaign Links builder. and Generate tagged campaign links. belong to Manage Marketing Pages. They let someone build the tagged links that give leads their Source channel and Campaign. See Campaign Links.
2. Leads — working the records
| Permission | Lets someone |
|---|---|
| View Marketing Suites lead management | See the list, the board, the queues and any lead record |
| Menu Access Marketing Suites lead management | See Manage Leads in the sidebar |
| Create New Leads | Add a lead — and run the CSV import |
| Edit Existing Leads | Change a lead, move its status, add activities and notes, and run bulk update and bulk tag |
| Delete Leads | Delete a lead, and bulk delete |
| Assign Leads | Assign a lead, bulk assign, put a lead in a queue, and use auto-assign |
| Import Leads | Run the CSV import |
| Export Leads | Export the filtered list |
| Assign multiple leads · Update multiple leads · Delete multiple leads | The bulk actions on the list |
As well as editing one lead it covers moving statuses, logging activities and notes, and the bulk update and bulk tag actions. Grant it to people you would trust with a hundred leads, not just one.
3. Leads — configuration
Everything in the Lead Settings hub.
| Permission | Lets someone |
|---|---|
| View Lead Settings | Open the Lead Settings hub |
| Manage Lead Sources | Create, change and remove lead sources |
| View lead sources · Create lead sources · Edit lead sources · Delete lead sources | The same, split by action |
| Manage Lead Pipelines | Create, change and remove pipelines — and their statuses |
| View Pipelines · Create pipelines · Edit pipelines · Delete Pipeline | Pipelines, split by action |
| View Statuses · Create Lead Status · Edit Lead Status · Delete Lead Status | Statuses, split by action |
| Manage Queues | Create and change queues, and manage their agents |
| Manage Lead Scoring Rules | Create, change and remove scoring rules, and run a recalculate |
| Manage Lead Assignment Rules | Create, change, reorder and remove assignment rules |
| View Lead Assignments · Create Lead Assignment · Edit Assignment · Delete Assignment | Assignment rules, split by action |
| Manage Conversion Rules for Lead to Contact or Deal | All three conversion families, and their retroactive Run |
| View lead agents list | See who can be assigned leads |
| Enable/disable agents | Turn a user into a lead agent, or off again |
| View custom field definitions · Create new custom field definitions · Edit existing custom field definitions · Delete custom field definitions | Custom fields |
| List Lead Grades Tab · Add New options of Leads Grade · Edit Options of Leads Grade · Delete Options of Leads Grade | Lead grades |
| Make the tabs visible of Source Category · Add new item for Lead Source Category · Edit existing item for Lead Source Category · Delete existing item from Lead Source Category | Source categories |
| View API keys and logs · Create/delete API keys | Webhooks |
| Show Lead Settings in the header settings menu. | Put Lead Settings in the header gear menu |
It also governs statuses, and the action that seeds a default pipeline. There is no way to let somebody manage pipelines while withholding statuses — in practice they are one permission.
4. Contacts
| Permission | Lets someone |
|---|---|
| View Contacts | See the contacts list and any record |
| List Contacts in Menu | See Contacts in the sidebar |
| Create Contacts · Edit Contacts · Delete Contacts | Maintain a contact |
| Import Contacts | Run the contact import |
| Export Contacts | Export the filtered list |
| View contact groups | See groups and their members |
| Create New Contact Groups · Edit Contact Groups · Allows deleting contact groups | Maintain a group |
| Assign / Un-assign Members or contacts of Group | Add and remove group members |
5. Deals
| Permission | Lets someone |
|---|---|
| View Deals | See the deals board and any deal |
| List Deals in Menu | See Deals in the sidebar |
| Create Deals · Edit Deals · Delete Deals | Maintain a deal |
| Export Deals | Export the deal list |
| Deals Settings | Open the deal settings screen |
| Deals Pipeline Management | Create and change deal pipelines and their stages |
Deals Settings only opens the screen. Deals Pipeline Management is what allows a change to be saved. A role with the first and not the second can look and not touch.
6. Customers and vendors
| Permission | Lets someone |
|---|---|
| Browse & View Orbit Customers records · Menu Listing of Orbit Customers | See customers |
| Create new Orbit Customers records · Edit existing Orbit Customers records · Delete Existing Orbit Customers records | Maintain a customer |
| Browse & View Orbit Vendors records · Menu Listing of Orbit Vendors | See vendors |
| Create new Orbit Vendors records · Edit existing Orbit Vendors records · Delete Existing Orbit Vendors records | Maintain a vendor |
Both sit under the organisation menu, but the records belong to a project. Switching project changes what the list shows — an empty list usually means the wrong project, not missing data.
7. Lead analytics
| Permission | Lets someone |
|---|---|
| Menu Listing of Leads Analytics | See Lead Analytics in the sidebar |
| Lead Overview & Executive Summary | The overview report |
| Acquisition & Source Insights | The acquisition report |
| Pipeline Health & Funnel Analysis | The funnel report |
| Lead Quality & Segmentation | The quality report |
| Team Performance & Engagement | The team report |
Each report is permissioned separately and the reports screen shows only the tabs you hold, so granting one gives exactly one tab.
8. Building a role — worked examples
| Role | Grant |
|---|---|
| Lead agent — works leads, changes nothing else | View + Menu Access Marketing Suites lead management · Edit Existing Leads · Assign Leads · View Contacts |
| Lead administrator — configures the pipeline | The agent set, plus View Lead Settings · Manage Lead Sources · Manage Lead Pipelines · Manage Queues · View lead agents list · Enable/disable agents · the custom field and grade permissions |
| Automation owner — owns routing and scoring | View Lead Settings · Manage Lead Scoring Rules · Manage Lead Assignment Rules · Manage Conversion Rules for Lead to Contact or Deal |
| Sales manager — deals and reporting | View Deals · Create Deals · Edit Deals · Deals Settings · Deals Pipeline Management · the five analytics reports |
| Read-only reviewer | View Marketing Suites lead management · View Contacts · View Deals · whichever analytics reports they should see |
A permission whose name starts Menu… or List … in Menu is what puts the module in the left sidebar. A role with View Contacts but not List Contacts in Menu can reach contacts by URL and will not see them listed.
9. Don't confuse this with…
| This | Not this |
|---|---|
| Manage Lead Sources | Make the tabs visible of Source Category — sources and their categories are separate |
| Manage Lead Pipelines | Deal pipelines, which are Deals Pipeline Management |
| View Lead Settings | Show Lead Settings in the header settings menu. — one opens the hub, the other places the shortcut |
| Deals Settings | Deals Pipeline Management — see section 5 |
| Import Contacts | Import Leads — different screens, different modules |
10. Troubleshooting
| Symptom | Cause |
|---|---|
| A module is missing from the sidebar | The role lacks that module's Menu… permission. Section 8 |
| A user can open Lead Settings and change nothing | They hold View Lead Settings but none of the manage permissions |
| Withholding status permissions had no effect | Manage Lead Pipelines covers statuses too. Section 3 |
| Deal settings open but nothing saves | Missing Deals Pipeline Management. Section 5 |
| Lead Analytics shows fewer tabs than expected | Each report is a separate permission. Section 7 |
| A customer or vendor list is empty | Wrong project selected. Section 6 |
