Built-in Help Drawer

The Approval Workflows tab includes a comprehensive Help Drawer that you can open at any time by clicking the ❓ Help icon. It has three tabs:

Basics Tab

Help Drawer — Basics

  • Designer Basics: Explains that the Approval Workflow Designer is a visual canvas where you define the multi-stage journey of a document.
  • The Canvas Elements:
    • Start Node (Yellow): Where the document enters the workflow.
    • Approval Step (Card): A decision point handled by a persona or system.
    • Final Statuses (Green): The endpoint of the workflow (e.g., "Approved" or "Rejected").
  • Drawing Connections:
    1. Identify the Handle (the small circle) on the side of a node.
    2. Click and drag from a source handle (e.g., "Approve") to a target node.
    3. The line represents the path the document will take when that action is performed.

Configuration Tab

Help Drawer — Configuration

  • Identity & Name: Give your step a clear name (e.g., "Manager Review"). This name appears in the document's progress timeline.
  • Approver Assignment: Select the Persona responsible for this step.
    • Reporting Manager: Automatically finds the requestor's manager.
    • Department Head: Looks up the head of the requestor's department.
    • Specific Role: Sends to everyone with a particular role (e.g., "Finance Team").
  • Allowed Actions (Strict Override): This section acts as a strict gateway for which buttons are visible to all users while the document is at this step.

Advanced Tab

Help Drawer — Advanced

  • Conditional Rules (Auto-Skip): Make your workflow "smart."
    • How it works: Define rules based on document data (e.g., Total Amount > 5000).
    • Behavior: If the conditions are not met, the system will automatically skip this step and move to the next one.
    • Use Case: Only require Senior Management approval for expenses above a certain limit.
  • SLA & Escalations: Ensure your process doesn't get stuck if someone is out of office.
    • Remind: Send a nudge to the current approver.
    • Escalate: Automatically move the request to a different persona.
    • Auto-Action: Automatically Approve or Reject after the time expires.
